Community Checklist

7 months out

  • Talk to person overseeing Visas and person giving orientation speech. Let them know they can come to you if you need anything.
  • Confirm Visa email is set up

6 months out

  • Outreach to local groups (example tracking from previous years) - This didn't seem very effective, do we want to rethink or abandon it?
  • Design and put up flyers in conference city - ideally before early bird ticket cutoff

When list of talks is released

  • Confirm speakers have gotten their Visa letter (esp keynote speakers)

2 months out

  • Confirm with Venue team that there is a space for Private Wellness Room (including fridge for nursing parents to use)
  • Child care - check on reputable places near the venue we can recommend
  • We have been giving stipend of $150/day, but confirm that’s accurate
  • Create blog post

During conference

  • Day or two before: Send out email to attendees with a map of conference layout, including side rooms
  • Put up Private Wellness Room signs (examples of sign 1, sign 2)

After conference

  • Make sure you've updated any changes to this list and other documentation based on this year's experience

  • Roles are claimed and everyone has been connected
